The Problem
A 30-person team was manually printing, stuffing, and mailing correspondence as part of its daily workflow — routine, repetitive work that quietly consumed 8–10 hours per person, per week. No single person owned the inefficiency; it was just "how things were done," which is exactly why it had gone unaddressed for so long.
The Approach
Rather than proposing a policy change from the outside, the fix started as a direct look at the actual workflow: shadowing the team, mapping every manual step, and evaluating print-vendor options that could absorb the fulfillment work without disrupting the correspondence itself (accuracy, timing, compliance requirements all had to hold).
What I Built
- Evaluated and selected an automated print vendor solution that plugged into the existing correspondence pipeline.
- Redesigned the end-to-end workflow so mailing became a system hand-off instead of a manual task.
- Defined the new standard operating procedure and trained the team on it.
- Built in monitoring so exceptions (misprints, delivery failures) still got human eyes when needed.
